Everyone Can Back the Future at Allen ISD Council of PTAs
Planning for a Successful End of the Year


The end of the year is near and you know as a president that this means you have a thousand things to do. Here is a short list to help you stay on track.

Current Presidents:

  • Select Life Membership Awardees, purchase awards from Texas PTA, and tickets for the banquet from Council. 
  • Post slate of officers at least 7 days before your election meeting.
  • At the election meeting, appoint your budget committee for the 24-25 budget. Your standing rules usually state who is on that committee, which should include the newly elected president/treasurer. If not, they should be invited to attend the budget meeting.
  • Encourage your board to reach out to their new counterpart to assure a smooth transition.
  • Invite the new president to participate in as many events, meetings, etc. as possible. Introduce them to admin and key staff members for the following year.
  • Confirm the outgoing treasurer files the 990 with the IRS.
  • Stay available at least until financial reconciliation is complete.
  • Thank your volunteers/board for their dedication to our school and community and encourage them to continue to volunteer.
  • Get yourself an umbrella drink, enjoy the summer, and congratulate yourself on a job well done!


Things to get done at the last membership meeting of the year

  • Appoint the Financial Reconciliation Committee. Check your bylaws to see who can be on it.
  • Approve the 2024-2025 budget
  • Appoint check signers and bank statement reviewer
  • Present the preliminary Annual Financial Report as well as the Annual Report
  • Talk with the newly elected president and decide if Tax Free days need to be approved for back to school.


Newly Elected Presidents:

  • The newly elected officers MUST meet within 30 days to appoint standing committee chairs, parliamentarian as well as any remaining open positions. During this meeting, check signers should be decided as well as bank statement reviewer for 24-25. Discuss if there is a need to approve tax free days for back to school.
  • Attend the budget committee and make sure that there is money in the budget for Launch (Texas PTA summer training in Grapevine).
  • Host a planning meeting with your entire board, invite your principal to attend, and decide on the calendar for the following year BEFORE school lets out in May.
  • Encourage your new board to attend spring training with Council as well as Launch 
  • Make sure to attend Launch!

Finally, thank you for all your hard work. Being president is not an easy task but you stepped up and did it! I am so proud of each and every one of you. I hope to see you all next year as returning presidents or wherever your heart leads you.

Texas PTA Dues Increase

The Texas PTA portion of membership dues will increase by $0.50 on August 1st, 2024. This change means the amount your members will pay will automatically increase by $0.50. So, PTAs that charge $10 will now be $10.50. Changes to the local portion of your dues can be done by amending your bylaws. Be sure to follow the process laid out in your bylaws, including giving your membership 30 days notice of any changes.

Upcoming Events!

Allen ISD Council of PTAs is excited to present a community-wide Wellness Fair on Saturday, April 6, 2024 from 11 a.m to 3 p.m. at the STEAM center.  This wellness fair will focus on the mental, emotional, and physical well-being of our parents and students. We will have providers and vendors at the fair to share their information about how their organization can help our community choose healthy behaviors that benefit our mind and body. 

We will also host speakers who will present different programs for adults and youths on topics covering mental and emotional health. In addition, we will have yoga instructors teaching yoga and breathing techniques and instruction on easy meditation techniques.

It’s time for our 3rd Annual Community Used Book Fair!  We’re excited to team up with our local PTAs again this year to get books in kids’ hands and fundraise for Allen ISD Staff grants.  

NEW THIS YEAR:

The school district will pick up books from all the participating campuses and take them to the Allen ISD Service Center.  NO drop-offs will be allowed at the Service Center during the week of set-up. 

  • Now thru April 17: Donation collection at schools
  • April 17: Books must be counted and sorted, ready for transport by end of day NEW THIS YEAR!
  • April 18: District will collect books at west side campuses and transport to Allen ISD Service Center NEW THIS YEAR!
  • April 19: District will collect books at east side campuses and transport to Allen ISD Service Center NEW THIS YEAR!
  • April 23-25:  Setup at Allen ISD Service Center (Local PTAs can serve their volunteer hours during this period or at the sale itself)
  • Dates for collection at Allen ISD Administration Building (612 E. Bethany Dr) & Allen ISD Service Center (1451 N. Watters Rd) coming soon!
  • April 25-27: Used Book Fair is open! NEW THURSDAY EVENING HOURS

TABLE SPONSORS: 

The Council is offering Table Sponsorships this year for the Used Book Fair.  From families to companies to civic organizations… all are welcome to sponsor one of our tables.  (ex. Fiction table “Sponsored by the Turner Family in honor of their Class of 2024 graduate” or Non-Fiction Table “Sponsored by IBM”). NO political sponsors are allowed since we will be setup next to a Polling Place.

Healthy Lifestyles

Reuse-a-Shoe contest will begin March 18th and end on April 2nd. It is up to your school when the competition is done during this time period. Shoes will be collected at each school by City Staff on April 3rd. Winning school will receive a prize valued at $400.

Environmental tip - Graduations and end of year parties are coming up, please refrain from doing balloon releases, as they are harmful to animals and the environment.

Regular Housekeeping
  • Ensure Board Roster is up-to-date and shared with Council Secretary if there are changes

  • Ensure new members to the Board have signed the Confidentiality, Ethics and Conflict of Interest document

  • Ensure everyone on the board has completed their mandatory training from Texas PTA

Notes from the Treasurer
  • Start to plan for early next year expenses and income so you are ready to present a Preliminary Budget for 2024-25

    • Spirit Wear 

    • School Supply Packs - PTAs need supply lists ASAP!

    • Launch 2024 - July 19-21, 2024 in Grapevine, TX

    • Back to School Bash (Usually August or early September)

    • Use your 2023-24 Budget as a starting point. 

  • Spring Training May 6 -10: Invite both outgoing and incoming treasurers

  • Appoint your Financial Reconciliation Committee

  • Sales Taxes are due April 22, 2024 if filing quarterly. Remember, you get a bit of a discount if you file early!

Elections will be held at the Delegate Meeting on March 20th. At that time, nominations will be open for anyone who wishes to "run from the floor" for any of the positions listed above. We look forward to the election and welcoming the new board in the year ahead!

  • Special Category Awards - Fill and submit a notification form for every award earned by Mar 31
  • April Showers Award - Add 15 new members by Apr 30

  • President's Challenge Award - Reach 114% of previous year's membership by May 31

Elections

Elections are around the corner, typically PTAs have their election meetings in March and April. Please remember that only members can vote in elections.  Verify members as they arrive and ensure that they are the only ones who are voting. Some PTAs verify the names against a printed member roster and hand members color note cards to hold up (green for yes and red for no) or plain paper to write their options, if required. People can join before the meeting so try to have a way for them to join on the day of the election meeting. This would also help add new members to your PTA. However, once the meeting starts and if there is a contested election, no new members can be added.

Delegate meeting sponsorships are still available for the March 20th or May 1st meetings and give you an opportunity to present to a large audience of local PTAs. The Democratic and Republican party primary election day is on March 5. The Libertarian party will choose candidates at conventions on March 12 (precinct) and March 16 (county). The Green party also uses conventions to select candidates. You may only participate in one party's selection process. Be a voter!

We're launching a Volunteer Spotlight to acknowledge the contributions of our parents, grandparents, students, and all those who support our schools. While we can only present a few with our citizenship awards, this spotlight allows us to give a shout-out to more on our council's Facebook page. Please share a photo of your nominee (only if they're comfortable) along with a brief write-up. If you have any suggestions, we'd love to hear them!
