Notes from the President

As this year comes to a close, I want to sincerely thank each of you for the time, commitment, and care you have given to your PTA and the school community. Your dedication has had a meaningful impact, and it has been inspiring to see all that we have achieved together.


Looking ahead, we hope you will continue to be part of Allen PTAs, either by remaining in your current role or stepping into something new. No matter the capacity, your involvement makes a difference, and we value the contributions you bring.


Thank you for sharing your energy, talents, and enthusiasm with us this year. Our PTAs are stronger because of you, and we are truly appreciative of all you do.


Things to do now:

•    Remind current board members to upload all files and documents to your shared Google Drive/workspace.

•    Connect with incoming board members to start the transition process.

•    Ensure the incoming board registers their positions with Texas PTA

•    Inform all board members of required Texas PTA trainings: Essentials, BASICS Boardsmanship, and BASICS position-specific training

•    Attend Council Spring Training sessions

•    Start planning for LAUNCH! This is a great opportunity to get new ideas and meet other PTA leaders.


Things to get done at the last membership meeting of the year:

•    Appoint the Financial Reconciliation Committee (refer to your bylaws for eligibility requirements)

•    Approve the 2026-2027 budget

•    Appoint check signers and a bank statement reviewer for the 2026-2027 year

•    Present the preliminary Annual Financial Report and the Annual Report

•    Connect with the newly elected president to determine whether Tax-Free Days need to be approved for back-to-school

•    Take time to celebrate a successful year!


Summer Reminders:

•    The new board officially takes office at the start of your PTA’s new fiscal year (refer to your bylaws for details)

•    Once the new board is in office, update authorized signers on your PTA bank account.

•    The Financial Reconciliation must be completed before you can start writing checks. If you need help with your Financial Reconciliation, you can contact - president@allenisdcouncilpta.org or treasurer@allenisdcouncilpta.org. We are happy to help!

•    Begin planning for the upcoming year by collaborating with your principal and board to create a master calendar.

•    Discuss and coordinate PTA and school fundraisers (if any).

•    Set a membership goal and start planning your back-to-school membership drive.

Used Book Fair


Before anything else, I simply have to say THANK YOU! Thank you to our local PTAs. Thank you to our school district. And thank you to our community partners – the City of Allen, Allen Chamber of Commerce, Foundation for Allen Schools and Friends of the Allen Public Library. Each of your boards, members and volunteers is an invaluable partner that helped make our 5th Annual Community Used Book Fair a big success!


So, how big a success?

Once again – we were able to give thousands back to our local PTAs. We also presented an $11,000 check to the Foundation for Allen Schools for Allen ISD Staff Grants. 


Now to some other final business…

PERSONAL NOTE:

One final note… as I close my 5th, and final, year leading the Used Book Fair – a personal thank you to every single person who has donated a book, counted, promoted or done any of the 1,000’s of things needed to make it happen each year. From a dream in 2021 to what it is today – I’m personally, extremely grateful to all of you. It takes a village, and we’ve got an awesome one!

TREASURER’S CORNER

  •  At the Last Membership Meeting
    • Budget Amendment to include expenses for the rest of the school year (year end parties, etc.) and summer activities (LAUNCH, kinder connect etc.)
    • Record in-kind donations received (if any) in both income and expense lines.


  • Prepare Preliminary Annual Financial Reports to be presented at this year’s final board and membership meetings.
    • Income & Expense Report from beginning of fiscal year 2025-2026 to final meeting date
    • Budgets vs. Actuals
    • Do not need to adopted, informational only
    • Final report to be presented at the first board and membership meetings of the next school year 2026-2027



  • Check your liability accounts!
    • Sales Tax
      • If your sales taxes are due quarterly, you’ll need to file by July 20th.
      • If filing Annually - Record Sales tax collected from January 01, 2026 until end of the school year and hand over to the incoming treasurer to file sales tax next year
    • Do you have any State & National dues that still need to be submitted?


  • Prepare for reconciliation.
    • Collect all documentation (binder or cloud)
    • Finish Monthly Reconciliations and Statement Reviews
    • Verify Membership count per MTK and member count as per the local roster for your PTA. Both numbers should match. In case of a difference, check with your Membership chair and resolve the issue before reconciliation.
    • Note that TX PTA has updated the financial reconciliation process, checklist, and report.
    • Visit txpta.org/financial-reconciliation for more details. New updates include:
      • Links to example documents to guide the committee on what to look for
      • An electronic checklist covering all steps, with space for comments and recommendations
      • An example of the financial section of the report, demonstrating proper completion
      • Examples of findings for each type of committee finding



  • Summer Treasurer Training/Parties-more details to come!
    • A Financial Reconciliation Q&A Session for Treasurers will be held in late June to answer questions about the process.
    • A Financial Reconciliation Party for Committees will be held on July 16, 2026 at the Allen ISD Service Center from 9:00 AM until 2:00 PM. It will be a “come & go” event for your Financial Reconciliation Committees to meet and receive help from Council, if needed.

Ceremony was held on May 2. All winners and families attended.

Reuse A Shoe Contest
  • 534 pairs of shoes were collected through the Allen ISD
    Reuse-A-Shoe Contest
  • 4 schools participated.  

    • Bolin Elementary won with 241 pairs

    • Marion came in 2nd with 221 pair 

    • Other participating schools were Chandler and
      Cheatham. 

  • Bolin will receive the $400 prize and a certificate.
    Marion will receive a certificate.
