I want to extend my heartfelt thanks to each and every one of you for your incredible dedication and hard work this year. Your efforts have made a difference in our school community, and I could not be prouder of what we've accomplished together.


As we look ahead to next year, we hope to see you return—whether in your current roles or exploring new ones within the PTA. Even if you’re not continuing in a board position, we appreciate your support and hope you continue to stay involved.


Thank you again for your time, energy, and passion. You are the heart of our PTA, and we are truly grateful.


Things to get done at the last membership meeting of the year

•    Appoint the Financial Reconciliation Committee. Check your bylaws to see who can be on it.

•    Approve the 2025-2026 budget

•    Appoint check signers and bank statement reviewer for 2025-2026

•    Present the preliminary Annual Financial Report as well as the Annual Report

•    Talk with the newly elected president and decide if Tax Free days need to be approved for back to school.



Summer Reminders:

•    The new board doesn't take office until the new fiscal year for your PTA. This information can be found in your By-Laws.

•    Once the new board is in office, make sure to go to your bank and switch the signers on your bank account.

•    The Financial Reconciliation must be completed before you can start writing checks. If you need help with your Financial Reconciliation, you can contact: president@allenisdcouncilpta.org or treasurer@allenisdcouncilpta.org. We are happy to help!

•    Start planning your year!

•    Don't forget about LAUNCH! This is a great opportunity to get new ideas and meet other PTA leaders.

THANK YOU for everyone’s help making our Fourth Annual Community Used Book Fair a success!  We can’t say enough to adequately express how much the time and effort from each volunteer from your PTA members to your board, and our community partners, meant.

  

Now to the final business…

MONEY:  We will unveil final numbers at our Council Delegate Meeting on May 14 as well as distribute checks to local PTAs. Please make sure you have someone there to collect the check.


FEEDBACK REQUEST: Planning is already underway for the next Used Book Fair. We would love to hear your thoughts on what went well, what didn’t, what you would like to see changed. This feedback is critical in our planning and last year’s survey led to several additions this year, including the Bag Sale.

Treasurer’s Corner
  • Prepare Preliminary Annual Financial Reports to be presented at this year’s final board and membership meetings. 
    • Income & Expense Report from beginning of fiscal year to final meeting date
    • Budgets vs. Actuals
    • Do not need to adopted, informational only
    • Final report to be presented at the first board and membership meetings of the next school year


  • Current Treasurer to file 990 within 60 days of your fiscal year-end.
    • Don’t know if you should be filing a 990-N, 990-EZ or 990? Check out the IRS section of the Treasurer’s Resource Guide.


  • Check your liability accounts!
    •  If your sales taxes are due quarterly, you’ll need to file by July 20th.
    • Do you have any State & National dues that still need to be submitted?


  • Prepare for reconciliation.
    • Collect all documentation (binder or cloud)
    • Finish Monthly Reconciliations and Statement Reviews
    • Note that TX PTA has updated the financial reconciliation process, checklist, and report. Visit txpta.org/financial-reconciliation for more details. New updates include:
      • Links to example documents to guide the committee on what to look for
      • An electronic checklist covering all steps, with space for comments and recommendations
      • An example of the financial section of the report, demonstrating proper completion
      • Examples of findings for each type of committee finding



  • Summer Treasurer Training/Parties – more details to come!
    • A Financial Reconciliation Q&A Session for Treasurers will be held in late June to answer questions about the process.
    • A Financial Reconciliation Party for Committees will be held in late July at the Service Center. It will be a “come & go” event for your Financial Reconciliation Committees to meet and receive help from Council, if needed.
In case you missed it…

…here’s TX PTA’s guidance on how to record petty cash in your financial records (e.g., MTK):


We need some cash for change at an upcoming event. I know we aren’t supposed to withdraw cash from the PTA bank account or keep petty cash, so what should we do?


You are correct, cash should never be withdrawn from the PTA via an ATM, cash advance or cash back from a deposit. And all cash should be deposited immediately after an event.  


  • A check request should be completed by the event chair who needs the cash for change at the event. 
  • The treasurer should then write a check to the chair and the chair can cash the check and get the change they need for their start-up cash.  
  • The check should be recorded as “negative” income for the event.  
  • At the end of the event, all checks and cash are counted and documented on the deposit form and recorded as income for the event.  
  • The net of the negative amount originally recorded for the start-up cash and the income deposited from the event will equal the actual event income.
